SHIP Quick Start

Use this when you want the shortest path from carrier invoice upload to findings, dispute, and claim submission.

1. Open the right SHIP surfaces

Confirm these pages load in your workspace:

  • Freight Audit (/freight-audit)
  • Freight Audit Upload Wizard (/freight-audit/upload)
  • SHIP Audit (/ship/audit)
  • SHIP Claims (/ship/claims)
  • Reporting (/reporting)

2. Choose the correct upload path

Use /freight-audit/upload

Use the wizard when:

  • you are uploading a raw UPS billing export
  • the file is a UPS 2.1 export with no header row
  • the file has custom or unfamiliar column names
  • you need to review or correct column mapping before processing

Upload raw UPS exports as-is. Do not manually add headers to the raw file.

Use /freight-audit

Use the direct upload page when:

  • you already have a known-good SHIP CSV
  • you are uploading a FedEx-style file that already works through the standard SHIP intake path
  • you do not need column mapping or UPS-specific previewing

3. Upload and process

FedEx or known-good CSVs

  1. Go to Freight Audit.
  2. Upload the CSV.
  3. Wait for processing to finish.
  4. Confirm findings were generated.

UPS billing exports or custom-column files

  1. Go to Freight Audit Upload Wizard.
  2. Upload the file.
  3. Review the preview.
  4. Complete mapping if needed.
  5. Start processing.
  6. Confirm findings were generated.

4. Handle duplicate uploads correctly

If SHIP reports that the file was already uploaded:

  • use the existing job or results when the earlier upload is PENDING, PROCESSING, or COMPLETED
  • retry the file only when the earlier SHIP upload failed

Do not re-upload the same in-progress or already completed file just to force a second run.

5. Review findings in SHIP Audit

Use SHIP Audit to:

  • inspect evidence and shipment detail
  • confirm valid overcharges or exceptions
  • move valid findings into dispute workflow

Day-one goal: move at least one valid finding into DISPUTED.

6. Build and submit claims in SHIP Claims

For each carrier lane:

  1. Create a submission from eligible findings.
  2. Generate the packet.
  3. File externally in the carrier portal, email workflow, or supported process.
  4. When moving to submitted or acknowledged states, record the real carrier reference in externalReference.

externalReference must be the real carrier claim ID, case ID, or equivalent ticket reference.

7. Confirm credit only with evidence

Only mark a finding as credited after you have actual carrier credit or refund evidence.

Capture:

  • confirmation source
  • reference ID
  • confirmation timestamp
  • positive credited amount

8. What to capture every session

Keep these available for support and reconciliation:

  • upload job IDs
  • finding IDs moved to dispute
  • submission IDs
  • carrier externalReference values
  • blocked steps and exact error payloads
